What to include in an AV RFQ in the UAE

AV bids only compare cleanly when every subcontractor prices the same scope. Most disputes after award trace back to something the RFQ left open, usually programming, the network split, or commissioning. A complete AV RFQ states:

• Line items taken from the BOQ or equipment schedule, one line per product, with quantity, unit, and the room or zone it serves.
• Model references from the specification, plus a clear approved-equal rule so substitutions are flagged on their own line rather than mixed into the price.
• Display and signage parameters that drive cost: screen size, brightness, duty cycle, and mounting, and for video walls the bezel and processor requirements.
• Control and programming scope: which rooms need a control processor, who writes the programming, and whether the user interface design is included.
• Network and ELV interfaces: PoE budgets, VLAN or IP requirements, and which party supplies the switches and cabling, so AV and ELV bids do not both price it or both leave it out.
• Life safety links: if the PA system also carries voice evacuation, say so, because that scope falls under fire and life safety approval and changes what equipment is acceptable.
• The installation split: supply only, or supply, install, test and commission, with handover training, as-built drawings, and the warranty and maintenance period stated.
• The commercial frame: AED pricing excluding VAT, quote validity, delivery window to site, and the clarification contact and deadline.

AV and automation packages in the UAE

On UAE projects, AV and automation are usually bought together because the control system ties them into one package. The control processor and touch panel that run a meeting room also switch its lighting scenes and blinds, and the same logic runs a villa. Three package types come up most often.

• Meeting rooms and boardrooms. Displays, cameras, ceiling microphones with DSP, a UC platform, and room control, priced per room type so every subcontractor quotes the same rooms.
• Control systems. Control processors, panels, and programming that link AV to lighting, blinds, and room booking. Programming hours and the interface design should sit on their own lines, because that is where bids diverge most.
• Residential and home automation. Villas and apartments where multiroom audio, cinema rooms, lighting control, climate, and security interfaces run on one platform such as KNX or a proprietary system.
